Context
Through its employment unit, UNamur offers a service to help with integration and career guidance in the way of group training and individual support. UNamur has also set up a career centre platform to facilitate the search for internships, jobs or training courses related to professional integration. These activities involve the processing of personal data.
Categories of personal data processed and purposes of use
For the purposes of this activity, the University of Namur processes data in the following categories:
- General identification data [this category includes the following types of data: surname, first name, postal address, e-mail addresses, copy of identity card, passport photograph, telephone number, etc.].
- Identifiers allocated by UNamur [category grouping the following types of data: student number, internal registration number, eID for access to internal resources, access card identifiers, student card number, etc.].
- Personal characteristic data [category grouping the following types of data: date of birth, gender, place of birth, marital status and nationality, residence status in Belgium, mother tongue, languages spoken, possession of a driving licence, etc.].
- Data relating to family situation [category grouping the following types of data: marital status, data relating to parents, guardians and spouses, household composition, children, etc.].
- Data relating to the student's academic career [category grouping the following types of data: data relating to the student's academic career, annual programme - teaching units followed -, PAI - Individualised Support Programme, grades, credits, exam registrations, honours, diplomas obtained, country(ies) of issue of diploma(s), jury opinions, disciplinary decisions and appeals, end-of-study work, work placements carried out, etc.].
- Data relating to student mobility [category grouping the following type of data: data relating to participation in a mobility programme (e.g. Erasmus), dates, origin or destination institution, etc.].
- Data relating to professional experience and skills [category grouping the following types of data: CV, language skills, previous experience, references ...]
- Registration data [category grouping the following type of data: date of registration, purpose of registration, etc.].
- Data relating to traineeships [category grouping the following type of data: data relating to the organisation and purpose of the traineeship, date, location, reports, etc.].
- Data relating to participation in an activity [category grouping the following types of data: presence, purpose of the activity, etc.].
- Authentication data [category grouping the following types of data: log in, passwords, password modification date, token, etc.].
- Connection and logging data [category covering the following types of data: dates and times of connection, type of operation performed, user identifier, IP addresses, type of data accessed, etc.].
- Data relating to the job [category grouping the following type of data: employer, job title, grade, status [academic, scientific, ATG], branch within the status, employee status, type of employment contract, length of validity of the contract, working arrangements, occupancy rate, appointment decisions, previous duties, etc.].
- Data on socio-administrative status in relation to professional integration (unemployment, scholarship status, etc.)
- Data relating to job search criteria (salary level, location, desired start date, eligibility for a recruitment plan, etc.)
- Social network account data
This data is used for:
- Manage the follow-up of requests for individual guidance and professional integration support
- Managing the organisation of group training courses on the theme of career guidance and integration
- Managing the University's career centre, which advertises job vacancies and provides information on employment, work experience and training opportunities. This includes :
- Managing registrations on the platform
- Promoting the platform to students and alumni
- Managing communication campaigns for people registered on the platform about job opportunities, internships and training courses
- Managing the publication of advertisements (job offers, internship offers, training offers, etc.)
- Managing the CV books tool
- Managing career centre modules
- Produce statistics and reports on the activities of the Employment Unit
Basis for lawfulness of data processing
The processing activity is carried out because it is necessary to perform a task in the public interest as defined below (Article 6, 1, e) of the GDPR)
In application of the Landscape Decree, the University of Namur has a public interest mission of teaching, research and service to the community, which includes activities aimed at helping students and researchers to find employment in a professional environment, whether for the purposes of an internship or at the end of their training. These activities also aim to link its research and teaching activities with the players in the job market.

The categories of persons whose data is processed for the purposes of the business are as follows:
- Registered students
- Alumni

- Post-doctoral students
Data sources
The data included in the processing activity comes from the following source(s):
- They were supplied by the person themselves
- The data is stored in a University database
- The data is generated by an activity carried out by the individual
Data recipients
Data is processed solely by University staff and departments for the purposes of carrying out the activity. The internal recipients of the data mainly belong to the following categories:
- Human resources department staff
- The persons in charge of the job centre
- The persons who organise or run the training courses

Processing characteristics
The retention period is determined according to the following criterion(s):
- the need to retain data for operational purposes depending on the purpose for which it is used.
- The data of persons registered on the Career Center are processed as long as the account is active.
- Registration data relating to training courses is deleted or rendered anonymous after the event has ended.
- Data relating to individual support is deleted no later than 12 months after the end of the support, unless the person concerned agrees to the data being kept for the purposes of participation in a professional integration support network.
