Context
UNamur aims to allow users of UNamur to create an account on the downloadable UNI for Change application (the application) and access the activities offered through this application. This application can also be used to support educational projects and activities intended for the community to directly or indirectly promote sustainable development. It can also facilitate participation in scientific studies. Managing access to the application and using the application as support for the aforementioned activities involves processing personal data.
Categories of personal data processed and purposes of use
For the purposes of this activity, the University of Namur processes data in the following categories:
- Data related to the creation of the account on the application (name, first name, email address, photograph, etc.)
- Affiliation with UNamur
- Status (student/employee/alumni)
- Data related to the challenges and activities offered on the platform
- Data related to teaching and educational activities [category including the following types of data: data related to the organization of work groups, formative activities, exams, course evaluations, tests offered as part of success support, completed work, etc.]
These data are used to:
- Manage the administration and animation of the UNI for Change application
- Offer participation in scientific studies
- Produce statistics
- Manage the use of the application in the context of educational activities and their evaluation
- Manage the use of the application in the context of community activities related to sustainable development
Basis of lawfulness of data processing
- The management of data associated with the creation of an account on the application and the technical use of the application is based on the execution of a contract with the person whose data is involved or to take steps at the request of that person prior to entering into a contract (Article 6, 1, b) of the GDPR).
- The management of data related to educational and research activities and community projects is based on the public interest mission of teaching, research, and community service (Article 6, 1, e) of the GDPR).
Categories of data subjects
The categories of individuals whose data are processed for the purposes of the activity are as follows:
- Staff members (as users or administrators of the application)
- Alumni who created an account on the application while they were students
- Students who created an account on the application
Data sources
The data included in the processing activity come from the following sources:
- The individual themselves provided the data
- The data are generated by an activity of the individual
Data recipients
The data are processed only by the individuals and services of the University for the purposes of carrying out the activity. The internal recipients of the data mainly belong to the following categories:
- Faculty and department staff in the context of educational activities, research, and community projects
The external recipients of data belong to the following categories:
- External service provider acting on behalf of and under the instructions of the University
- ULiège through its "Green Office" acts as a service provider for the provision and management of the application. Read more
Characteristics of Processing
The retention period is determined based on the necessity to retain the data for operational needs depending on the purpose of their use:
- For users, 18 months after the last use of the application or until their account is deleted from the application.
- For staff members with an administrator role on the application, until the role is revoked or their account is deleted from the application.
Data Subjects Rights
Individuals whose data are processed have rights described on the page https://www.unamur.be/en/privacy-policy. Any request or question related to the processed files can be addressed to the person responsible for the activity or to the Data Protection Officer (dpo@unamur.be).
